Selecting a patient

Dentrix Enterprise provides a robust patient search tool. There are many areas throughout Dentrix Enterprise where you can select a patient:

In Chart, Family File, Ledger, Document Center, Treatment Planner, Office Journal, or More Information (to view or edit a patient's information).

In Appointment Book (to schedule a patient's appointment).

In Office Manager or DXOne Reporting (to filter a report by patient).

Note: There are other ways to access the patient search tool.

To select a patient

Use one of the following methods (or another method not mentioned here) to access the patient search tool:

In Chart, Family File, or Ledger:

Click the Select Patient button on the toolbar.

On the File menu, click Select Patient.

In Document Center or Treatment Planner:

Click the Select Patient button on the Patient Information toolbar.

On the File menu, click Select Patient.

In Office Journal:

Click the Select Patient button on the toolbar.

On the File menu, click Select Patient.

In More Information:

Click the Select Patient button on the toolbar.

In Appointment Book:

Click the Schedule Appointment button on the toolbar.

Double-click an open time slot on the schedule.

Note: Scheduling an appointment requires the "Appointments, Schedule New" security right.

In Office Manager:

When setting up options to generate a report, click the applicable search button .

In DXOne Reporting:

When setting up options to generate a report, click the applicable search button .

The Select Patient dialog box appears.

Note: For your convenience, the patients that were selected most recently appear in the Previously Selected Patients list. If the patient that you are looking for appears in this list, you can select that patient's name without having to search for it first.

Search for a patient on one of the following tabs:

Search By - Do the following:

Under Patient Info, select one of the following options:

Last Name (Last, First) - To search by last name (the box where you enter a name to search for expects a last_name, first_name format).

First Name (First Last) - To search by first name (the box where you enter a name to search for expects a first_name last_name format).

Preferred Name - To search by preferred name.

Other ID - To search by another ID.

Chart # - To search by chart number.

SS # - To search by Social Security Number.

Subscriber ID - To search by the subscriber ID for a dental or medical insurance plan that is attached to a subscriber or patient.

Home Phone - To search by home phone number.

Birthdate - To search by birth date.

Note: The selected option is selected by default for the next time that you search for a patient, but the selection is no longer remembered when you exit Dentrix Enterprise (log off all modules).

Under Clinic, select one of the following options:

This clinic - To search in the clinic that you are currently logged in to.

All clinics - To search in all clinics. This option is available only if you your user account has been granted the "View All Patients" security right for the Central clinic.

My clinics - To search in the clinics to which you have been granted the "My Clinics, Select Patients" security right. This option is available only if your user account has been granted this security right for at least one clinic.

Note: The selected option is selected by default for the next time that you search for a patient, but the selection is no longer remembered when you exit Dentrix Enterprise (log off all modules).

In the Enter Last Name, Enter First Name, Enter Preferred Name, Enter Other ID, Enter Chart #, Enter SS #, Enter Subscriber ID, Enter Home Phone, or Birthdate box (the name varies according to the selected Patient Info option), begin entering a last name, first name, preferred name, other ID, chart number, Social Security Number, subscriber ID, home phone number, or birth date, respectively.

Note: You can enter the wildcard character (%) as part of your search criteria.

Do one of the following:

If the organization setting to allow instant patient searches is enabled, when you enter at least three letters or numbers (or all the digits of a birth date), any patients that match your search criteria appear automatically in the results list. Continue typing as needed to narrow the search results.

If the organization setting to allow instant patient searches is not enabled, or if you have entered only one or two letters or numbers, click Search to view the patients that match your search criteria.

The matching patients appear in the results list (upper list).

Do one of the following:

Double-click the name of a patient in the results list.

Select the name of a patient in the results list, and then click OK.

Appointments - Do the following:

If the Always start with "Today" checkbox is selected, today's date appears in the Show appointments for box; otherwise, the date that you specified the last time that you searched for patients by appointment appears in the Show appointments for box.

Note: The state of the Always start with "Today" checkbox is saved for the next time that you search for a patient, but the state is no longer remembered when you exit Dentrix Enterprise (log off all modules).

To search for patients by appointment on a different date, do one of the following:

Enter the correct date (in a m/d/yyyy format) in the Show appointments for box.

To select a date, do the following:

Click the Show appointments for box's down-pointing arrow to view a month calendar.

Navigate to the correct month using the left and right arrows.

Note: To quickly change the year and month, click the month-year at the top of the calendar, navigate to the correct year using the left and right arrows, and then click the correct month.

Click the correct day.

Under Clinic, select one of the following options:

This clinic - To search in the clinic that you are currently logged in to.

All clinics - To search in all clinics. This option is available only if you your user account has been granted the "View All Patients" security right for the Central clinic.

My clinics - To search in the clinics to which you have been granted the "My Clinics, Select Patients" security right. This option is available only if your user account has been granted this security right for at least one clinic.

Note: The selected option is selected by default for the next time that you search for a patient, but the selection is no longer remembered when you exit Dentrix Enterprise (log off all modules).

The patients who have an appointment on the specified date appear in the results list (upper list).

Do one of the following:

Double-click the name of a patient in the results list.

Select the name of a patient in the results list, and then click OK.

Advanced Search - Do the following:

Next to Search, select one of the following options:

Patient - To search by patient.

Family - To search by head of house.

Note: The selected option is selected by default for the next time that you search for a patient, but the selection is no longer remembered when you exit Dentrix Enterprise (log off all modules).

If a barcode scanner is configured for scanning ID cards or badges, to search using the scanner, select the Barcode Scanner checkbox, and then scan the card or badge to view the patient or head of house in the Search Results list. Skip to step g.

Search for a patient or head of house by any of the following types of information (you can search by multiple criteria):

Last Name - Enter one or more characters of a last name.

First Name - Enter one or more characters of a first name.

Preferred Name - Enter one or more characters of a preferred name.

Sex - From the list, select Male, Female, Other, or Unknown.

Phone - Enter one or more digits of any part (area code, prefix, and/or suffix) of a phone number. To enter digits for a specific part of the phone number, click at the beginning of or at a specific position on a line, and then begin typing. To remove digits from a specific part of the phone number, select those digits, and then press Delete.

Chart # - Enter one or more characters of a chart number.

SS # - Enter one or more digits of any part of a Social Security Number. To enter digits for a specific part of the Social Security Number, click at the beginning of or at a specific position on a line, and then begin typing. To remove digits from a specific part of the Social Security Number, select those digits, and then press Delete.

Birthday - Do one of the following:

Enter one or more digits of any part (month, day, and/or year) of a birth date. To enter digits for a specific part of the date, click at the beginning of or at a specific position on a line, and then begin typing. To remove digits from a specific part of the date, select those digits, and then press Delete.

To select a date, do the following:

Click the box's down-pointing arrow to view a month calendar.

Navigate to the correct month using the left and right arrows.

Note: To quickly change the year and month, click the month-year at the top of the calendar, navigate to the correct year using the left and right arrows, and then click the correct month.

Click the correct day.

ID # - Select the type of ID to search for from the ID Type list, and then enter one or more characters of an ID in the ID # box.

For Status, select or clear any of the following checkboxes to filter the search by status (but at least one must be selected):

Patient - With this checkbox selected, the search includes active patients. With this checkbox clear, the search does not include active patients.

Inactive - With this checkbox selected, the search includes inactive patients. With this checkbox clear, the search does not include inactive patients.

Archived - With this checkbox selected, the search includes archived patients. With this checkbox clear, the search does not include archived patients.

Non-Patient - With this checkbox selected, the search includes non-patients. With this checkbox clear, the search does not include non-patients.

Note: The state of the Status checkboxes are saved for the next time that you search for a patient, but the states are no longer remembered when you exit Dentrix Enterprise (log off all modules).

Under Clinic, select one of the following options:

This clinic - To search in the clinic that you are currently logged in to.

All clinics - To search in all clinics. This option is available only if you your user account has been granted the "View All Patients" security right for the Central clinic.

My clinics - To search in the clinics to which you have been granted the "My Clinics, Select Patients" security right. This option is available only if your user account has been granted this security right for at least one clinic.

Note: The selected option is selected by default for the next time that you search for a patient, but the selection is no longer remembered when you exit Dentrix Enterprise (log off all modules).

Click Search.

If you are searching by Patient, the matching patients appear in the Search Results list. If you are searching by Family, the matching heads of house appear in the Search Results list.

Do one of the following:

Double-click the name of a patient or head of house in the Search Results list.

Select the name of a patient or head of house in the Search Results list, and then click OK.

Double-click the name of a family member in the Family Members list (which is available only if you are searching by family).

Select the name of a family member in the Family Members list (which is available only if you are searching by family), and then click OK.

Notes:

To view the More Information window for a patient in the results list, Search Results list, Family Members list, or Previously Selected Patients list, select a patient, and then click More Info.

On the Search By or Advanced Search tab, you can use the mouse to type on an on-screen keyboard instead of typing on the computer's keyboard. To show the on-screen keyboard, click Show On Screen Keyboard. To hide it, click Hide On Screen Keyboard.

The selected tab is selected by default for the next time that you search for a patient, but the selection is no longer remembered when you exit Dentrix Enterprise (log off all modules).
